How to Request a Certificate of Employment in the Philippines 

If you’re applying for a new job, securing a loan, or preparing for a visa application, there’s a good chance you’ll be asked to provide a Certificate of Employment (COE). It’s a simple but important document that confirms your time with an employer. In this guide, we’ll walk you through how to properly request a COE in the Philippines, step by step. 

What is a Certificate of Employment? 

A Certificate of Employment (COE) is a formal document issued by your current or past employer. It typically includes your job title, the dates you worked there, and sometimes your salary—especially if you’re requesting it for a bank, embassy, or new job application. It’s one of the most common documents employees request from HR. 

Who Can Request a COE? 

Good news—everyone who has worked for a company is entitled to request a COE, whether you’re still with the company or not. The Department of Labor and Employment (DOLE) even has an advisory (DOLE Advisory No. 06-2020) that says employers should issue this document within three working days of the request. 

This includes: 

  • Regular employees 
  • Contractual or project-based workers 
  • Resigned or terminated staff 
  • Retirees 
  • Employees on probation 

How to Request Your COE (Without the Stress) 

1. Check Your Company’s HR Policy 

Start by reviewing your employee handbook or HR portal. Some companies use HR software or forms to streamline the process. 

2. Send Your Request 

Email your HR contact, submit through your HR system, or use any official method your company has set up. 

3. Wait Up to 3 Business Days 

By law, your employer must respond within three working days. It’s okay to follow up politely if you haven’t heard back. 

What Should Be Included in a Certificate of Employment? 

Here’s what you’ll usually find in a COE: 

Detail What It Means 
Your Full Name As recorded in the company system 
Job Title The position you held 
Dates of Employment Your start and end date (or “to present”) 
Department The team you worked with (if applicable) 
Salary (Optional) Included only if you ask for it 
Reason for Request May be mentioned if you specify 
HR Contact Info Name and contact of the issuer 

Requesting a COE for Special Situations 

💼 For Job Applications 

A basic COE with your job title and employment dates is usually enough. 

🏦 For Loans or Visas 

You might need extra details, such as: 

  • Monthly salary 
  • Confirmation of employment status 
  • HR’s contact number 
  • Signed and stamped letterhead 

Just mention your reason clearly when making your request. 

Protecting Your Privacy 

Thanks to the Data Privacy Act of 2012, employers must protect your personal data. That means your COE should only include sensitive info—like your salary—if you ask for it.
